1. About these terms

These terms govern individual use of a Road Protect Fleet business account by employees and authorized users, through the system, website and interfaces, including connections to external applications and AI assistants. The “business” is the customer for whom the account is managed; a “user” is an individual authorized to act in that business account.

The service agreement signed with the business governs the purchased services, fees, service levels, term, termination and the liability of its parties. These user terms do not replace or amend that agreement, make the user a party to it, or impose a personal obligation to pay service fees, guarantee the business’s debts or provide an indemnity. These terms do not reduce a right that cannot be waived under applicable law.

2. Services available in the system

The system assists with managing fines and vehicles, attributing fines using ownership, vehicle-use and driver records, managing documents and contracts, preparing and submitting redirection requests, tracking, reminders and reports. Depending on the service provided to the account, it may also support fine payments and preparing and submitting fine-cancellation requests to supported authorities.

Available services depend on the business’s agreement, permissions, account settings and support by the relevant authority or service provider. An action appearing in the system does not mean it is available for every authority or fine. Road Protect is not the authority that imposed the fine and does not decide whether to approve a request or cancel a charge.

3. Permissions and account security

Use the account only within your role and the authorization granted by the business. Acting for the business or another person requires authority to provide information and take the relevant action on their behalf. Access to the system does not replace any required authorization from the business, driver or rights holder.

You may use interfaces, connections and automation supported by the system, including OAuth and MCP, within the approved permissions and without bypassing access controls. Authorization of an external connection does not expand the authority the business has granted the user.

Keep login credentials and access methods secure, do not provide them to unauthorized persons, and promptly report suspected unauthorized access or an action you did not request. Account administrators must assign permissions appropriate to users’ roles and update them when a role or authorization ends or changes.

4. Information and documents provided to the system

Provide accurate, complete and current information needed for the action, including vehicle details, periods of use, driver details and supporting documents. Check data imported from a file, connected system or document-recognition process before relying on it, and report any error you discover.

Providing another person’s information requires appropriate authority and a lawful basis, together with notices and consents where required by law. Do not upload a document, signature or information you are not entitled to use. These terms are not a power of attorney, a driver declaration or consent to process another person’s information on their behalf.

5. Submissions, confirmations and deadlines

Preparing or uploading a document or opening a request in the system does not, by itself, confirm that the request has been sent to, received by or approved by the authority. Check the action’s status and the relevant submission, receipt or payment confirmations. A sending confirmation does not guarantee the authority will approve the request.

Deadlines, required documents, rights to challenge a fine and the consequences of payment depend on the type of notice, authority and applicable law. Do not assume that using the system, contacting support, requesting redirection or requesting cancellation automatically suspends a payment deadline or collection process. Establish the procedure and deadline applicable to the particular notice. If information is missing, an error occurs or a deadline is near, promptly contact the party responsible under the service agreement and, where necessary, the competent authority.

This does not reduce any handling or monitoring obligation Road Protect has expressly accepted in its agreement with the business.

6. Fine-cancellation requests and legal information

For supported workflows, the system helps prepare and submit a request using the applicant’s details, reasons and supporting documents. Review the request and the applicant’s identity before submission. A request may be submitted in the name of the company or individual who received the fine, through the authorized representative and subject to the authority’s requirements.

Information, templates and suggested wording in the system do not replace legal advice suited to the circumstances. These terms are not an agreement for legal representation before a court or tribunal and do not authorize such representation. No approval of a request, redirection, fine cancellation or outcome before an authority, court or tribunal is guaranteed.

7. External connections and artificial intelligence

Connecting an external application, including an AI assistant through MCP, may allow it to receive account information and perform actions within the approved permissions and the user’s permissions in the account. Some permissions allow changes to records, document uploads and submission of redirection requests, as well as viewing information.

Before connecting an application, review its identity, requested permissions and terms. Review the data and proposed action before giving an instruction or approval; AI output can contain errors. Where available, you can narrow permissions or revoke a connection through the account’s connection management. Revocation does not undo actions already performed, requests already sent or information already disclosed to the application. Information disclosed to an external application is also subject to its own terms and privacy policy.

8. Payment actions in the business account

The commercial service is provided to the business under its service agreement. Giving a user access does not, by itself, create personal liability for service fees. Fines, surcharges and other authority charges are separate from Road Protect’s service fees; liability for those charges is determined by law and the circumstances of the notice.

A user may instruct a payment only if authorized by the business and entitled to use the payment method. Service cancellation and refunds to the business are governed by its service agreement and applicable law, rather than being established anew by these user terms.

Before instructing a fine payment, review the notice, amount, payment method and consequences of payment for the available ways to address the fine. Obtain payment confirmation; acknowledgement of a payment request does not necessarily mean the fine has been paid. Cancelling the service or disconnecting an application does not, by itself, cancel a fine or obtain a refund from an authority.

9. Permitted use and rights

Use the system lawfully and within your permissions. Do not attempt unauthorized access to an account or information, bypass access controls, disrupt the service, upload malicious code, or knowingly provide false information or documents.

Rights in the software, design and content belonging to Road Protect or other rights holders remain with their owners. Use of the system does not transfer those rights to the user. Providing business data and documents does not, by itself, transfer ownership to Road Protect or permit use for any purpose. Their use to provide the service is subject to applicable law, the applicable agreement and the Privacy Policy.

10. External information, availability and liability

Information displayed in the system may come from the business, authorities and external providers, and may be delayed or require correction. Missing information or the absence of a notice in the system does not establish that no fine or other obligation exists. The official notice, competent authority’s records and applicable law determine the obligation and procedure.

Operation of the system may be affected by maintenance, errors and changes to external interfaces. Service commitments for availability, handling and monitoring, and Road Protect’s and the business’s liability, are determined by the service agreement and law. A user’s responsibility for their actions is determined by law; these terms do not add a liability limitation or indemnity obligation. This does not release Road Protect from liability imposed by law or an obligation it has accepted, or limit a right that cannot be waived.

11. Privacy and communications

Details about personal information collection, use, disclosure, retention and individuals’ rights are provided in the Privacy Policy. Agreement to these terms does not replace any separate notice, consent or authorization required by law.

The system may send communications about account activity and fine handling through contact channels provided or configured for the account. Follow the allocation of responsibilities within the business and under its service agreement; do not rely solely on a reminder to meet a deadline. These terms do not constitute consent to receive advertising.

12. Restricting access and ending use

Access may be restricted where reasonably necessary to protect the account or system, prevent unauthorized use or comply with a legal requirement, subject to the applicable agreement and to the extent required by the circumstances. Termination of the service and continued handling of open fines are governed by the applicable agreement and law.

The business determines who may use its account. When your role or authorization ends, stop using the account, including external connections established under that authorization, and coordinate removal of access with the account administrator.

Signing out, removing a user or disconnecting an application does not constitute notice to terminate the business’s service agreement. Termination does not automatically undo a submission received by an authority, cancel a fine debt or remove an information-retention obligation. Direct questions about continued active handling or termination to the account administrator or the business’s authorized contact.

13. Updates and applicable law

The update date appears at the top of this page. Publication of an update does not, by itself, amend an existing individually agreed contract or authorize a new use of personal information. A change requiring notice or consent will be made in accordance with applicable law and the applicable agreement.

These terms are governed by the laws of the State of Israel, subject to mandatory legal provisions. Disputes will be heard by the competent court or tribunal under applicable law, without restricting any right of access to justice that cannot lawfully be excluded. The business’s service agreement applies to its parties; these user terms do not make the user an additional party to that agreement.
